Special Events- No matter how big or small Action Traffic Control always enjoys the opportunity to enhance the safety aspect of an event. How to organize traffic management

Street events often require road closures. If your specific event requires a road closure Action Traffic Control can liaise with external agencies (ie NZ Police, emergency services and bus companies) on your behalf to gain approval.

If you have a planned event it is important to note most applications for road closures must be received in writing, at least six weeks prior the activity (this may vary from council to council depending on which local body you are applying too). When an application for an event permit is requested you must provide details of:

  • the  required road closure
  • what human resources you will provide to manage the closure ( ie marshals)
  • what equipment you will provide (ie barriers/cones/signage)
  • map of the road closure area.

Added costs:

Road closures must be advertised to the public (this is a legal requirement that must be observed). Advertising costs associated with this are entirely the organizers responsibility.

Other requirements for a road closure may include:

  • equipment hire (ie barriers and signs)
  • marshals (you may need high vis vests etc)
  • a traffic management plan
  • parking restrictions and associated signage
  • advisory signage
  • consultation with businesses and residents affected by the road closure

The above points are only guidelines, your road closure may not require all considerations. Action Traffic will advise what you need, we can also organize the road closure on your behalf. We will assist in advising emergency services, transport services and the public of the road closure. We can also give advice on how best you can consult with the other parties affected by the road closure.

You may need to have vehicles in parking spaces for longer than the stated times, to allow access for setting up and packing down. We can advise you how best to accommodate your parking requirements.

There are a few options to consider when planning the parking for your event.

Parking for public

The event organizer can:

  • arrange to use local businesses (usually available in the weekend) schools, churches, halls etc
  • advertise local parking buildings as part of the event promotion (in some cases negotiate a special rate for event attendees)
  • provide park and ride options if parking is far from the event
  • car pool and use charter buses.

Special Carparks (suppliers, contractors, employees, participants)

  • arrange parking private properties (consult personally will local businesses and residents)
  • special 'event' parking area (these require a parking pass and marshals to staff the area)
  • car pooling and charter buses
  • parking permits and/or temporary resolution (see below for more details)

Parking permits can be obtained from local councils. There is usually a charge per day or per half-day and per space used. Parking permits are only available for goods vehicles - cars, vans or trucks that are loading/unloading equipment etc.

Temporary Resolution

This is a legal amendment to existing parking restrictions. Temporary resolutions must be obtained from the local council (Action Traffic Control can organize this on your behalf).  It is important to note local councils charge fees for processing temporary resolutions (parking officers enforce your temporary parking restriction so an hourly rate for this service is charged too).

Compliant 'no stopping' and advisory signage is also required when temporary resolutions are put in place. Temporary resolutions enable the organizer to tow unauthorised cars legally, click here today if you require help with signage. To prevent undue stress to local businesses and residents consultation must be take place prior the  temporary resolution placement.
